User guide
Your first session.
And everything after.
Clear steps for meetings, guests, screen sharing, live broadcasts and recordings. Start with the task you want to complete.
Controls shown in your workspace depend on your plan, role and available services. These instructions describe the website; browser media permissions can differ by device.
Schedule with Allstrm Calendar
- Open Dashboard → Calendar. Choose Month, Week, or Agenda, and select the timezone in which you want to view your events.
- Choose New event, enter the title, start and end, and event timezone. Video meeting creates a shareable invitation; Personal / busy time reserves time without a video room. Choose daily or weekly repeats for up to 52 occurrences.
- Open a saved meeting to copy its guest invitation link. At meeting time, choose Open meeting room. Guests can join once the host opens the room and will enter the waiting room for admission. Future bookings do not consume room limits until a room is opened.
- Use Working hours to set your booking timezone, weekdays, hours, and buffer. Open Booking links to create a public booking page. Guests see available slots; conflicting calendar events, meetings, and broadcasts are excluded.
- Guests should save the private Manage my booking link shown after confirmation. It lets them cancel their booking. Hosts can edit a single occurrence, cancel it, or cancel the full recurring series. Guest invitation pages reflect rescheduling and cancellation.
- Reminders appear while your dashboard is open. Download an event or export the calendar to add it to a device calendar with reminder alarms. Attendee emails are stored for your records; share invitation links yourself because this calendar does not automatically send emails.
No Google Calendar account is required. Events already in another calendar are not imported or checked for conflicts; add Personal / busy time in Allstrm for those commitments. Broadcasts without an end time reserve one hour for conflict checks.
1. Create your account
- Choose Sign up, enter your email and password, and submit the form. If email verification is requested, open the verification email before continuing. Check your spam folder if it does not arrive.
- Sign in to open your dashboard. Use the password recovery link on the sign-in page if you cannot remember your password. Use the same sign-in method you originally registered with.
- Review your account settings and plan before inviting others. Available features and usage limits depend on your account’s plan.
Never share your password or broadcast stream key. Guests should receive a session link.
2. Choose the right session
- From the dashboard, open the create-session menu. Choose Video meeting for a call with colleagues or guests.
- Choose Live Broadcast to prepare a studio production and send it to streaming destinations. Choose Local Recording when you want to capture a recording on your device.
- Private infrastructure meeting uses the alternate meeting service configured for your workspace. Use it only when that service is available; the standard Video meeting is the normal starting point.
- Complete the setup shown on screen and enter the session. If a room or usage limit is reached, close an unused room or review your plan instead of repeatedly creating rooms.
3. Set up your camera and microphone
- Open the session in a current browser over HTTPS. When prompted, allow camera and microphone access for Allstrm.
- On the preview screen, select the intended camera and microphone. Check your picture, mute state and speaker volume before joining.
- Wear headphones when participants are in the same physical space. Close other applications that are using your camera if it cannot start.
- You can turn the microphone or camera on and off using the controls inside the session. Muted participants must unmute before others can hear them.
4. Invite guests and use the waiting room
- Open the room’s invite or share control and copy the complete guest link. Send the link to your guest without removing its path or query parameters.
- The guest opens the link, enters the requested name or signs in if the room requires it, checks their devices, and requests to join.
- When waiting-room approval is enabled, the guest waits until a host admits them. Hosts should open the participant or waiting-room panel and admit or reject each request.
- If the session uses a password, restricted access or an expiring invitation, give the guest the required information. Create a new invitation if the old one has expired or reached its usage limit.
A room link does not override the room’s access policy. Do not publish a private invitation in a public post.
5. Leave, rejoin and end a meeting
- Use Leave when you only want to disconnect yourself. Reopen the same valid room link to return to a room that is still available.
- A host should use End for everyone only when the meeting is finished. This closes the session for participants; guests cannot use the ended session as an active meeting.
- After a network interruption, allow the connection to recover. If it does not, leave the broken session and reopen the room link once. Avoid keeping several copies of the same call open.
- If rejoining shows an access or waiting message, check the current room policy with the host. Rejoining does not bypass approval or participant limits.
6. Share your screen
- Inside the session, select the screen-sharing control. In the browser picker, choose a tab, window or entire screen and confirm Share.
- For presentation audio, choose a browser tab and enable the browser’s audio option when it is offered. Audio-sharing support depends on the browser, operating system and selected source.
- Keep the shared tab or window open. Closing it, stopping from the browser’s sharing banner, or revoking permission ends that share.
- To change the source, stop the current share and start a new one. On systems that require Screen Recording permission, enable it in system settings and restart the browser when prompted.
Check what is visible before sharing an entire screen. Screen-sharing controls may be unavailable in some mobile browsers.
7. Broadcast to other platforms
- Open Destinations in the dashboard or studio and add the platform you want to use. Follow the connection flow if offered; for an RTMP destination, obtain the server URL and stream key from that platform’s live dashboard.
- Paste the server URL and stream key into their separate fields. Give the destination a recognizable name and save it. Do not use the public viewing-page URL as the server URL.
- Open a Live Broadcast studio. Check the camera, microphone, scene and guests, then select the destinations for this broadcast.
- Start the broadcast from Allstrm. Open each destination’s live dashboard and confirm its preview is receiving video and audio. Complete that platform’s own Go Live or publish step if required.
- When finished, stop the broadcast in Allstrm and confirm the live event has ended on each destination. Leaving a browser tab is not a reliable way to end a broadcast.
A saved destination is not proof that a broadcast is live. The destination account must have live-streaming access, a valid key and any required event configuration.
8. Use Instagram Live
- Open Instagram’s Live Producer on an eligible account and prepare a live video. Copy the current stream URL and stream key from Instagram.
- In Allstrm, add an Instagram destination and enter those values. If you have an existing Instagram destination, update its key for the new session.
- Select the Instagram destination in the studio and start sending the broadcast. Return to Instagram, check the incoming preview, then use Instagram’s Go Live control.
- End the live video on Instagram and stop the broadcast in Allstrm. Obtain a fresh key for the next session when Instagram requires one.
Instagram account eligibility and Live Producer availability are controlled by Instagram. Allstrm does not generate an Instagram stream key or publish on your behalf without the platform’s final step.
9. Record and find your media
- Choose Local Recording for a device recording, or use the session’s recording control when cloud recording is available on your plan.
- Start recording only after checking your sources. Tell participants that you are recording and follow your organization’s consent requirements.
- Stop recording and wait for processing or the download to finish before closing the session. Save local downloads to a folder you can find later; local files are not automatically a cloud backup.
- Open Recordings or your media library to find cloud recordings. Wait for a ready or completed state before attempting playback or download. Processing time depends on the session length.
- If storage or recording limits are reached, review your existing media and plan. Archive visibility does not necessarily free storage.
10. Manage your workspace
- Use the dashboard navigation to review rooms, destinations, recordings and settings. Search lists before creating duplicates.
- Where team or organization controls are available, invite members using their correct email address and grant only the access they need.
- Review your plan and billing screens for enabled features and usage. Account access and a payment provider’s subscription are separate records; contact support when they disagree.
- For help, use the support link below. Include the time, affected room or destination, browser and visible error message. Do not include passwords, session cookies or stream keys.
11. Backoffice guide for administrators
- Authorized administrators can open the admin panel to review platform metrics, users, rooms and service status. Regular users cannot access these controls.
- Use Users to manage a user’s access tier and account status. Use Rooms to review or end sessions; ending a live room affects its participants.
- Plans & limits edits the stored plan catalog. Catalog prices do not automatically update external payment-provider prices or existing invoices.
- Use the registers to search destinations, recordings, organizations, projects, subscriptions, invoices and processing jobs. Editable records have a Manage action; provider-owned financial and job states are read-only.
- For an editable record, review the values, enter a reason and save. New register changes are recorded in Audit history. If another administrator has changed the same record, refresh before editing again.
- Use Coupons to create or disable platform coupons. Export this page downloads only the visible page of a register, not a full database backup.
Troubleshooting
I cannot sign in
Confirm your email and original sign-in method. Complete email verification if requested, then use password recovery if needed.
Camera or microphone does not work
Check the browser’s site permissions and your operating system’s privacy settings. Select the correct device and close another app using it.
A guest cannot enter
Check that the room is active, the invitation is complete and valid, and the host has admitted the guest. Check passwords and participant limits.
Screen sharing stopped
Check whether the shared window closed or the browser stopped the share. Start sharing again and select the intended source.
The destination is not live
Check the exact server URL, current key, account eligibility and destination preview. Complete the destination’s Go Live step if required.
Video is choppy or audio echoes
Use headphones, close duplicate call tabs, reduce competing uploads and try a stronger connection. Ask participants to check their own network too.
A recording is not ready
Wait for processing and refresh the recordings list. If it reports an error, contact support with the session time and recording ID.
Still stuck? Contact support or check service status.
